Uzun yazım da anlaşılır: ex works, free on board, cost and freight.
- Lojistik terimler ve kısaltmalar: taraf etiketleri (Shipper:, Consignee:, Notify:, Alıcı:), referans (Our ref:, PO no:), ödeme (Freight terms: collect), tarih (ETD, Cargo ready date, Cut-off), Pallet: 17, Gross weight: 2030 teklife not/yük olarak okunur. Birimler çevrilir: lbs → kg, cft → cbm, 5 MT → ton. Konteyner tip kodları: 20DC/40HC/45HC fiyatlanır; 40RF, 40OT, 40FR, 20TK (reefer, open top, flat rack, tank) talebe gider. free time, SOC, sigorta istekleri not düşer; door to port / port to door / CY/CY fiyat kapsamını belirler.
- Fiyatlanmayan talepler: RoRo, breakbulk / proje kargo, demiryolu, kurye ve dökme yük otomatik fiyatlanmaz; konşimento / telex release / ATR gibi belge talepleri, hasar-kayıp bildirimi, booking iptal-değişikliği, cari mutabakat ve demuraj itirazı ilgili ekibe talep olarak iletilir (asistan onayınızı sorar).
- Tek yabancı yer yazılmış, yön belirtilmemişse (Foshan 14 cbm 3,2 ton): öteki uç firmanızın şehridir; asistan fiyattan önce o yerin çıkış mı varış mı olduğunu sorar, ithalat / ihracat (ya da çıkış / varış) yazmanız yeterlidir.
- Kendi tesisiniz (depomuzdan yüklenecek, depomuza teslim): alım/teslim yeri firmanızın kayıtlı şehri sayılır, ön/son taşıma eklenir; farklıysa yeri yazın.
- Tehlikeli madde sınıflandırması: sprey/aerosol/parfüm tehlikeli madde sayılır; düz tehlikesiz yetmez, IMDG/MSDS'e göre tehlikesiz gibi sınıflandırma beyanı gerekir. istiflenebilir yazıldıysa otomatik istiflenemez kuralı uygulanmaz.
Form biçiminde yazım
Her alanı ayrı satıra Etiket: değer biçiminde yazabilirsiniz.
- Eksik bilgi varsa: asistan neyin eksik olduğunu sorar (bkz. 3).
3. Asistan soru sorarsa
5. E-postaya özgü ipuçları
- Konu satırı okunur. Rotayı konuya kısaca yazmanız yeterlidir: "Ambarlı - Casablanca // LCL", "Kemalpaşa, İzmir - Ambarlı - Radès" (ön taşıma - çıkış - varış), "Ningbo to İstanbul".
How does it work?
You write an ordinary e-mail to the assistant; it reads your request and usually replies within a few minutes in the same e-mail thread. There is nothing to install, no sign-in and no form to fill in.
Three basic rules
- The assistant's address must be in the "To" field. If it is only in CC or BCC, the assistant does not reply.
- Your identity is the address you send from. No password or verification code is asked. Prices are given to registered customer addresses, so write from the address your company has registered with us. If your address is not registered, the assistant tells you so and asks whether you would like a customer representative to contact you; simply reply Yes — your correspondence is forwarded to our sales team. Sailing schedules are given without a registration check.
- Put the details in the body of the e-mail; attach your document if you have one. An attached packing list or commercial invoice is read: ports of loading and discharge, gross weight, volume, number of packages, package dimensions, terms of delivery, commodity and HS code are taken from the document, and the reply says which document was used. What you write in the body takes precedence over the document. Readable types: text PDF, Word (.docx), Excel (.xlsx), TXT, CSV. Images, scanned PDFs, old .doc/.xls files and large files are not read; you are told when an attachment could not be read. A shipping / B/L instruction, customs declaration or documents you send for an existing file (Instruction attached, Attached in a thread with a file number) is not treated as a rate request; it goes straight to the operations team and no automatic quote is written. Naming the attachment in the body (packing list attached) gets it to the right team even when the file cannot be read.
- When you attach a shipping instruction, your e-mail is passed to our operations team; the assistant does not quote for an instruction.
1. How to ask for a quote
Two things in one e-mail are enough: the route (from where to where) and the cargo. Write in plain sentences; greetings and courtesies are fine.
More examples:
How to write the cargo
- Groupage cargo: weight (kg or tons) and volume (cbm or m3); or piece dimensions and quantity: 120*80*100 cm 3 pallets 500 kg.
- Containers: type and quantity — 2x40HC, 1x20DC. If you leave out the quantity, the assistant works it out from the weight or prices 1 container; reply to correct it if needed.
- Full truck: state the weight; the number of trucks is worked out from it (1 truck if not stated).
- For cargo that cannot be stacked write non-stackable.
- Pickup / delivery address: if the cargo is collected from an address, name the district (pickup in Beykoz, Bayrampasa/Istanbul); pre-carriage is added to the price. A full address also works: write it line by line under Pick-up address: or Delivery address:; the town next to the postal code and the country name are used, and the whole address is added to the quotation note.
- Short route notation: two places on one line, such as Mersin - Hamburg, are read as origin first, destination second.
- Place names: write the city or port. If you only give a country (to Germany) the assistant asks which port you mean; writing Hamburg from the start saves a round.
- Logistics terms and abbreviations: party labels (Shipper:, Consignee:, Notify:), references (Our ref:, PO no:), payment (Freight terms: collect), dates (ETD, Cargo ready date, Cut-off), Pallets: 17 and Gross weight: 2030 are read as notes/cargo. Units are converted: lbs → kg, cft → cbm, 5 MT → tons. Container codes 20DC/40HC/45HC are priced; 40RF, 40OT, 40FR, 20TK (reefer, open top, flat rack, tank) go to a request. free time, SOC and insurance requests are noted; door to port / port to door / CY/CY set the scope of the price. RoRo, breakbulk/project cargo, rail, courier and bulk are not priced automatically; document requests (B/L, telex release, ATR), damage/loss, booking cancellation/changes, account reconciliation and demurrage disputes are forwarded to the relevant team as a request after your confirmation.
- Incoterms: our prices are on a C&F (CFR) basis for exports and an FOB basis for imports; a different request (EXW, CIF, DDP…) is noted on the quote and mentioned in the reply. Long forms (ex works, free on board, cost and freight) are understood too. In EXW Foshan / FOB Ningbo / CIF Mersin notation the place is the named point of the term: origin for EXW / FCA / FOB, destination for CFR / CIF / DAP / DDP; the other end is your company's city.
- A single foreign place with no direction (Foshan 14 cbm 3.2 tons): the other end is your company's city, and the assistant asks whether that place is the origin or the destination before quoting; reply with import / export (or origin / destination).
- Your own premises (from our warehouse, to our warehouse): pickup/delivery is set to your company's registered city with pre-/on-carriage; name the place if it differs.
- Dangerous goods classification: spray/aerosol/perfume count as dangerous goods; a plain non-hazardous is not enough, a statement like non-hazardous as per IMDG/MSDS is. stackable disables the automatic non-stackable rule.
Writing it as a form
You can put each field on its own line as Label: value. You may also paste the quotation form you already use; a label on one line with its value on the next line is understood too.
Commodity, HS code, incoterm and cargo ready date are added to the quote as notes. For every detail of writing cargo and places (label list, transport modes, two-word place names) see the general guide.
2. What is in the assistant's reply?
- Summary: check the "What we understood" section. If something was misunderstood, reply and correct it: destination is Dammam, not Jeddah.
- Price and first sailing: for sea groupage cargo, when a price is given and your loading and destination ports match one of our open sailings, the earliest sailing available for your cargo is added to the reply; you do not need to ask separately. If no sailing matches, this section is left out; to see the full schedule, ask for the sailing schedule.
- Quote: once a price is given your quote is created automatically; the quote document arrives from our system in a separate e-mail.
- If there is no ready rate: your request is registered under a reference number and our customer representative reverts to you by e-mail. You do not need to write again.
- If something is missing: the assistant asks for it (see 3).
3. If the assistant asks a question
- Use "Reply" on the same e-mail and keep the subject line. Because the thread continues, your earlier details are remembered; you do not have to repeat everything.
- Write your answer at the top. The quoted text below (earlier correspondence) is not read.
- Just answer what was asked: Hamburg, 1 x 40HC, 3 cbm 500 kg.
- If options are offered, type the word: Yes or No. There are no buttons in e-mail.
- If the missing details cannot be completed after two questions in a row, your request is passed to our team together with the whole correspondence.
For a new request, write a new e-mail with a new subject line instead of replying to the old thread; the two requests will not get mixed up.
4. Sailings, operations and finance
- Sailing schedule: name the destination — sailing schedule Tunis, next sailing to Jeddah. Open sailings are listed.
- Shipment status and invoices: write with your reference, B/L or booking number. If your records can be reached with your e-mail address, the answer comes directly; otherwise your request is passed to the relevant team.
5. Tips specific to e-mail
- The subject line is read. A short route in the subject is enough: "Ambarli - Casablanca // LCL", "Kemalpasa, Izmir - Ambarli - Rades" (pick-up - origin - destination), "Ningbo to Istanbul". What you write in the body takes precedence; the subject fills in what is missing. You can also put your own reference number in it; the subject is added to the created quote as a note.
- Asking about an existing shipment? Put the quote, file or bill of lading number in the subject or the body ("… - 4812328"); status, vessel and dates are given from that record.
- Tables: a table pasted into the body is converted to plain text and columns may shift. The safest way is one field per line as Label: value.
- Signature: if your signature starts with a -- line or with a closing line on its own (Best regards, · Kind regards,) it stays out of the request. Otherwise the company name in the signature may end up as a note on the quote.
- Forwarded e-mails: when forwarding a correspondence, write the request in your own words at the top; the forwarded part below may not be read.
- Language: write in English or Turkish; the reply comes in the language of your e-mail.
- Typos are largely understood; write numbers and units clearly (500 kg, 2 cbm).
- Automatic replies (out-of-office etc.), newsletters and bulk mail are not answered.
- To talk to a person, say so in your e-mail (please have an expert call me); a request is created for our team.
6. Scope
For customs duties and regulations, insurance cover and premiums, document lists and payment terms the assistant passes your request to our team. It does not answer questions outside logistics.
The same assistant is also available in web chat and on WhatsApp: general user guide.
